Job Description:

The School of Academic Advancement at Madison College is seeking a Student Support Advisor. In this limited term employment position, you will be tasked with offering comprehensive academic support to students transitioning from basic skills (English language learning and GED/HSED) and developmental reading, writing, and math instruction to degree-credit programs.

The Student Support Advisor will be responsible for meeting individually with students to discuss program requirements and opportunities, monitoring academic progress, and developing and leading information workshops and support programs. Additionally, the role involves participating in college functions such as orientation, convocation, and graduation, referring students to and coordinating services with other college offices, preparing, and presenting workshops for students experiencing academic difficulties, maintaining advising files, and reviewing and evaluating transcripts per college policies and procedures. This position reports to the Administrative Manager of the School of Academic Advancement.

As per the agreed terms with the supervisor, the Student Support Advisor maintains a flexible 30-hours a week schedule from Monday to Friday between 8:00 am and 6:00 pm, with occasional nights and weekends. This full-time position is based at the Goodman South Campus, however, will also perform duties at the Truax Campus. The role also includes the option to work remotely two (2) days a week, subject to change as per Madison College policy.

This is a 30-hour full-time LTE position through June 30, 2025; with a strong possibility of extension.

Essential Duties:

  • Academic Advising:
  • Advises current and prospective students regarding the application process, financial aid, programs of study, program qualifications, course content, course selection, prerequisites, recommended credit load, advanced standing process, registration, admissions, and college pathways opportunities. Resolves student questions or concerns regarding academic policy and procedures and refers to appropriate resources when necessary. Gathers data relevant to advising. Coordinates and responds to community-based organization advising needs.
  • Recruitment/Transition:
  • Recruit developmental education students for college transfer and program courses. Connects with existing students within the School of Academic Advancement to discuss transition options to degree-credit programs and courses. Collaborates with program advisors as students transition to degree-credit programs.
  • Career and Employment Resource Services:
  • Assists students in the identification of career goals, including career exploration, decision making, college choices, and targeting jobs using a variety of resources appropriate to the students' needs. Administers and interprets instruments that evaluate students' skills, abilities and interests related to their education/career plans. Assists students in developing appropriate action plans. Reviews and provides feedback on cover letters, resumes and portfolios.
  • Student Retention:
  • Actively participates in student orientations. Assists students in planning their educational experience, including support needs, time management, and strategies for success through the development of their Personal Education Plan. Provides academic support services and case management support, in the form of early alert and ongoing follow-up for students who will benefit from intensive advising and monitoring. Provides information and referral for support services, including counseling, financial planning, AODA services, conflict resolution, tutoring and supplemental instruction. Facilitates and supports communication and problem solving between students and faculty. Provides information and referral to external resources and agencies as appropriate to meet students' needs. Participates in and supports learner success strategies, advocating for the needs of students' cultural differences and uniqueness.
  • Record Keeping and Program Outcomes:
  • Maintains knowledge and understanding of yearly grant outcomes and requirements. Prepares and enters client reporting data as needed. Enters each student contact in Student Services Database within 24 hours of contact. Follows case management procedures and maintains case files in accordance with college policy. Follows the regular student contact and follow-up protocol of the School of Academic Advancement.
  • Technology:
  • Acts as a resource expert for students seeking advising, career and job placement information and financial aid and scholarship applications.
  • Maintains a commitment to the college mission, vision, and values.
  • Other duties as defined by department, college, or officials.

Knowledge, Skills & Abilities:

  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Knowledge of Student Development and Learning College theory and principles. Knowledge of developmental advising skills and academic and career advising skills.
  • Ability to plan, organize, promote, and implement events, education workshops, in-services and programs.
  • Ability to travel to various locations within the district and work varying and flexible schedules (evenings and weekends) to meet staffing demands.

Minimum Qualifications:

  • Bachelor's degree (Preferred in Human Services, social work or closely related fields) or equivalent working experience. *Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
  • Two (2) years of directly related work experience of which a minimum of six months experience in program coordination and development in a college/university environment (academic/retention support)
  • Although not a minimum requirement, bilingual in Spanish or Arabic language preferred
