Purpose, Scope & Dimension of Job:
The purpose of this position is to provide administrative support to the Dean for the Division’s efforts to achieve its Mission and Vision which are focused on academic excellence and student success. The students we serve may pursue Certificates or Associates of Applied Science Degrees in Career and Tech. Ed. (Cosmetology or Culinary Arts) or Business. This position is responsible for providing high quality assistance to the Dean of the Business Division as we support students in the pursuit of their academic goals. The Administrative Asst. will perform a variety of duties as well as provide excellent service to students of the Division.
The Business Division is supported by one Administrative Assistant II position and one Administrative Assistant I position. On a daily basis, the Administrative Asst. I handles Division business, interactions with students and Business Division associates, and other duties including but not limited to those outlined below.
Supervisory Responsibility:
This position may assist with assigning and overseeing student employee work assignments.
Minimum Requirements
Minimum Required Knowledge, Skills, and Abilities:
- Associate’s degree in Business, Office Administration, or a related field or equivalent experience.
- Applicant must have two years’ experience in a general office setting.
- Experience using MS Excel and MS Word with a preferred knowledge of Google suite, Adobe suite, and Canva.
- Ability to maintain confidentiality on all information regarding student records, faculty, and student communications and personnel matters.
- Have a high focus on collegiality and work with a team-oriented attitude.
- Exhibits regular attendance, punctuality, dependability, and reliability.
- Excellent interpersonal communications.
- Ability to be flexible and adapt to changing work situations.
Additional Desirable Qualifications
Preferred Skills and Abilities:
- Experience working in a Higher Ed. Institution.
- Demonstrated ability to meet deadlines, organize and manage large amounts of information and files.
- Past experience managing similar volume and complexity of data, files, detailed information.
Physical Requirements/Working Conditions
Physical Requirements:
- Must be able to remain in a stationary position 50% of the time.
- The person in this position needs to occasionally move about in the office or visit other departments of the College.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
Work Schedule
Hours/Schedule:
Full-time, regular position. Non-exempt for purposes of FLSA. Ability and willingness to work varying hours, including some evenings. Some remote work is possible.
